On-Campus Event Request Process

Planning for an event requires a lot of thought, collaboration, and hard work. We are here to help guide you every step of the way.

Step-by-Step Guide to Plan Your On-Campus Event

  • 1) Plan your event

    Identify your goals, outcomes, and audience for the event. Check the Campus Calendar to avoid time conflicts and availability of locations. Think through your agenda and what you will need to appropriately and feasibly achieve your goal. Create a list of equipment and support you will need. For more tips on initial planning, click here.

  • 2) Fill Out an On-Campus Event Request Form

    Complete this form at least 10 business days prior to the intended event date. You will receive a response within 5 business days of submission.

  • 3) Promotion & Preparation

    Once your event is approved, you can begin promoting. Make sure fliers get stamped before posting them on designated campus locations. See Large Poster Printing Policy and Campus Email Distribution Policy.

    If you are renting equipment, coordinate a pick-up date and time for rental equipment with the appropriate staff/area.

  • 4) Hold your Event

    Make sure you have plenty of time to set-up and prepare on the day of your event. If you need to get in contact with Facilities on the day-of, please contact Campus Security and request your call to be forwarded to the Facilities on-site. Have a blast and enjoy all your hard work!

  • 5) Return Loaner Equipment & Complete Debrief Survey

    Congrats! After your event, return all rental equipment within 1 business day to avoid late fees. Complete the Debrief Survey to keep record of what was successful and things that can be improved upon.
